A register balance is cumulative. A break in venue operations does not reset it automatically. If the actual amount differs from the CRM balance, use reconciliation.
Find the actions
Open Cash register. Each register card has a square three-dot button and a clock icon. The button opens the actions menu; the clock opens the action history. Management is available to the venue owner and manager.
Reconcile a balance
- Choose “Reconcile balance” from the register menu.
- Enter the actual amount, including every payment method held in that register.
- Enter a reason, such as “Reconciliation after a seasonal break”.
- Review the resulting balance and correction.
- Confirm, then open the history icon to check the saved entry.
Reconciliation applies now. It keeps previous transactions and records the balance correction separately. The correction is not income or an expense and does not move real money between bank accounts or cash drawers.
If another payment or change occurs while the form is open, the CRM asks you to refresh the preview. Review the updated amount before trying again.
Reset a balance to zero
Choose “Reset balance to zero”, enter a reason and confirm. The balance becomes zero while previous receipts and expenses remain. Use this when the actual balance is zero and you want to keep the reports.
Start a new period
- Choose “Start a new period”.
- Enter its opening balance and a reason.
- Review the preview and confirm.
The period begins when you confirm. The register journal shows new transactions by default. “All periods” opens earlier history; “Current period” returns to the current list. Earlier transactions remain in reports as read-only entries.
Periods follow the time a transaction is posted. A transaction entered during a new period belongs to it even when its payment date is earlier. This version does not support selecting an arbitrary past start date.
Archive and restore a register
Choose “Archive register” and enter a reason. The register becomes read-only and disappears from new payment selections. Its history and reports remain available.
To resume using it, open Archive, find the register and choose “Restore register”.
You cannot remove the last required register of its type: create a replacement first. If the register is selected for online payments, change the payment setting first. Pending online payments must finish or be cancelled before the register can be archived or deleted.
Clear transactions or delete a register
“Clear transactions” removes cash entries from the journal and cash reports, resets the balance, and keeps the register name and employee access. “Delete register” also removes the register itself.
Both actions require a reason and the exact register name. A downloadable snapshot of settings, transactions and corrections is saved first. Find the action in the history and select “Download backup”. This version does not include an automatic snapshot restore button.
Order paid marks remain unchanged, so those payments should not be posted again. Stock levels and redeemed certificates are not automatically reversed.
Use reconciliation or a zero-balance reset for a simple balance mismatch; these preserve your cash history and reports.
Read the action history
The history shows the action, date, employee, reason or comment, and balance before and after. It also records register creation and settings changes, plus transaction additions, edits and deletions.
“All history” shows actions across registers, including deleted ones. New actions are recorded from the installation of this update; older cash transactions remain in the normal register journal.
